Terms & Conditions
Everything in one place, in plain English. These are the terms that apply to training with me, in person or online. They're the same terms you agree to on the new client form, gathered here so you can read or re-read them any time without digging.

Who you're dealing with
Ashton Fitness is run by Ashton Alderson, a qualified personal trainer operating in Durham and Newcastle and coaching clients online. I train clients at UltraFlex Durham and Hii Club Gosforth. Where these terms say "I" or "me", that's Ashton Fitness.
By booking sessions, starting online coaching or completing the new client form, you're agreeing to the terms below.
In-person sessions: payment
This isn't me being difficult, it's how I keep my diary workable. Slots are held for you, and holding an unpaid slot means turning away someone else.
Session blocks
Sessions are usually bought in four-week blocks.
How blocks work
- A four-week block can be extended by up to two additional weeks if you can't attend, for example a holiday
- Beyond that extension, any remaining sessions in the block are lost, unless we've discussed and agreed something different based on your circumstances
- If something significant happens — illness, injury, a family emergency — talk to me. I'd always rather find a sensible solution than hide behind a rule
- Blocks are for you personally and can't be transferred to someone else
Cancellations and rearranging
With less notice than that — including same-day cancellations and no-shows — the session is lost, because I don't have the time to offer that slot to another client.
If you're going away for a holiday or work travel, please aim to give me at least two weeks' notice so I can plan my diary around it and offer your slots elsewhere.
If I ever have to cancel a session on you, you'll get the session back or rearranged at no cost. That works both ways.
Timekeeping
Please arrive on time. If you're late, the time is deducted from your session, because the client after you is entitled to their full hour. If you know you're running behind, message me and I'll do what I can with the time we have.
Online coaching
How online coaching runs
- Online coaching starts with an initial three-month commitment, paid monthly in advance
- After the initial three months, coaching continues on a rolling monthly basis
- You can cancel at any time after the initial term with 30 days' notice
- Programmes are non-refundable and non-transferable
- Once a coaching block has started, it can't be frozen or extended
- Weekly check-ins must be completed by 10.30am on your check-in day. Late check-ins may not be responded to that week
- Training video analysis is expected as part of the coaching, with a minimum of two videos per week
Real change takes more than a few weeks, and the initial three-month term exists so we have the time to build it properly rather than chasing a quick fix.
Payments generally
What to expect
- Payment options and prices are discussed on your free consultation
- In-person sessions are paid upfront, before the session
- Online coaching is paid monthly in advance, usually by Stripe or direct debit
- Fees are non-refundable once a block or coaching month has begun
- If a payment fails or is missed, sessions or coaching may be paused until it's resolved
- I'll always give you notice before any price change, and it won't apply mid-block
Health, safety and your responsibility
Before we start, you complete a health questionnaire on the new client form. You're responsible for giving me accurate and complete information, and for telling me if anything changes: a new injury, a diagnosis, a medication change, or a pregnancy.
I'm a personal trainer, not a doctor, dietitian or physiotherapist. Nothing I provide is medical advice, and it isn't intended to diagnose, treat, cure or prevent any condition. If you have a medical condition or any concerns, please speak to your GP before starting a training or nutrition programme. If anything hurts during a session, stop and tell me immediately.
You take part in training at your own risk. Exercise carries an inherent risk of injury, and while I coach technique carefully and design programmes to minimise that risk, it can't be eliminated entirely.
Photos, progress pictures and results
How I handle images
- I will never share your photos without your explicit consent. Consent is asked for separately on the new client form and you can decline without it affecting your coaching in any way
- You can withdraw that consent at any time, and I'll stop using the images going forwards
- Progress photos submitted at check-in are used to assess your progress and are stored securely
- Any programme, plan or guide I write for you is for your personal use. Please don't share, copy or post it publicly
- No other gym, coach or company may use your results or progress photos taken during coaching with me for their own advertising without my consent
Your data and privacy
I collect the information needed to coach you safely and effectively: contact details, health information, goals, and your check-in data. It's handled in line with UK GDPR, and it isn't shared with anyone without your consent.
At the end of our time working together you can ask me to delete your information and I will. The full detail is in the privacy policy.
Behaviour and mutual respect
A short section, because it's rarely needed. I'll treat you with respect, honesty and confidentiality, and I expect the same. I reserve the right to end coaching, without refund of any session already used, in cases of abusive behaviour, harassment, or repeatedly turning up to sessions under the influence of alcohol or drugs.
Where a WhatsApp support group is part of your coaching, please keep it supportive and respectful. Negativity towards other members isn't tolerated.
Liability
Nothing in these terms limits my liability for death or personal injury caused by negligence, or for anything else that can't legally be limited. I hold appropriate personal trainer insurance.
Beyond that, I'm not liable for injury, loss or damage arising from you not disclosing relevant health information, not following the coaching given, or training in a way we haven't agreed.
Results vary from person to person. I'll give you the best programme, guidance and support I can, but I can't guarantee a specific outcome, because outcomes depend heavily on your adherence, sleep, stress, genetics and life circumstances.
Changes to these terms
I may update these terms occasionally. The date at the top of this page shows when they were last changed, and if anything material changes for existing clients I'll tell you directly rather than expecting you to notice a webpage.
These terms are governed by the law of England and Wales.
